Website & Text Message Privacy Policy for Apollo Upper Cervical Chiropractic.

Last updated: October 27, 2026

1. Who we are

Apollo Upper Cervical Chiropractic (“Apollo,” “we” or “us”) is a chiropractic practice with three offices: SoHo in New York City, Astoria in Queens, and Massapequa on Long Island. This policy explains what we collect when you use this website or exchange text messages with us, how we use it, and who we share it with.

2. What we collect on this website

We collect only what you give us and what the site needs to run.

  • Booking. Your name, mobile phone number, date of birth and e-mail address, the office, visit type and time you choose, and, if you wish, your height, weight and the reason for your visit.
  • Requests and messages. When you ask for an earlier appointment or use the Contact form: your name, phone number, e-mail address, the office, and what you write to us.
  • Patient forms. After you book, we send you a secure link to your new-patient forms. They ask for your contact details, health history, medications, past injuries and symptoms, and for your signature on our consent documents.
  • Patient portal. If you set up a portal account, your e-mail address, a password (we keep only a protected form of it) and the mobile number we send your sign-in codes to. The portal shows you your documents, forms and billing.
  • Deposits. An office may ask for a card deposit to hold a visit. You type the card number into our payment provider’s secure fields, not into our pages. We never see or store it; we keep only a reference to the payment.
  • Automatic data. Like most websites, our servers log your IP address, browser type, the pages you ask for and the time. We use cookies only to keep you signed in to the portal and to make the site work. We do not use advertising or tracking cookies.

Two parts of the site involve other companies. The map shows pictures from OpenStreetMap, which receives your IP address as any web server would. And an office that books online through a scheduling service run by another company sends what you type there to that company, under its own privacy policy.

3. How we use it

  • To book, confirm and remind you about your appointments.
  • To send you your new-patient forms and keep your answers on your chart.
  • To provide your care and keep your records (see section 6).
  • To answer your calls, messages and requests.
  • To run the patient portal and keep your sign-in secure.
  • To take a deposit, and to record and bill for your visits.
  • To keep this website secure and working, and to meet our legal duties.

We do not use your information for advertising, and we do not sell it to anyone.

4. Text messages

We send text messages from a toll-free number to patients who have given us their mobile number and agreed to receive them. The texts are about your care and your appointments: reminders, the link to your new-patient forms, a check if you have not arrived for a visit, portal security codes, and replies to messages you send us. We do not send marketing or promotional texts.

When you book online, ask for an earlier time or use the Contact form, you agree to these messages by checking a box that starts unchecked. Agreeing is not a condition of care. We record that you agreed, with the date and time. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help.

The full terms, the exact wording of the box, and sample messages are on our SMS terms page.

5. Who we share it with

We do not share, sell, or otherwise provide your mobile phone number or text-messaging consent to any third parties or affiliates for marketing or promotional purposes.

No mobile information, including phone numbers, text-message opt-in data and consent, will be shared with third parties or affiliates for marketing or promotional purposes.

We use a small number of service providers to run the site and deliver our messages. They receive what they need to do that job, and only for that job:

  • Our hosting provider, which keeps this website and its data on servers.
  • Our texting provider and the mobile carriers, which deliver our text messages to your phone.
  • Google, whose e-mail service sends our e-mails to you.
  • Our payment provider, which processes a card deposit when an office asks for one.
  • The scheduling service some offices use for online booking, as described above.

We may also disclose information when the law requires it. Health information in your record is shared only as the law and our Notice of Privacy Practices (section 6) allow.

6. Health information and HIPAA

Health information in your patient record, such as your forms, notes, images and billing, is also governed by the practice’s Notice of Privacy Practices under HIPAA. You can ask any of our offices for a copy. This policy covers this website and our text messages; the Notice covers your record.

7. Security

This website uses encrypted connections. Every staff member signs in with their own account, and an administrator can limit what each account can see. Patient portal sign-in needs your password and a one-time code sent to your phone. No website or message service is completely secure, so please do not put anything urgent or highly sensitive in a text message or the Contact form. For anything urgent, call us.

8. Your choices

  • Stop texts: reply STOP to any text from us. Reply START to receive them again, or HELP for help.
  • Stop e-mails, or see or correct your information: call any office or the central call line below, or ask at your visit.
  • Cookies: your browser lets you block them. The patient portal needs one to keep you signed in.

9. Children

This website is for adults, including parents and guardians who book for a child. We do not knowingly collect information about a child under 13 directly from the child. If you think a child has sent us information, call us and we will remove it.

10. Changes to this policy

If we change this policy, we will post the new version here and change the date at the top of the page.
